Minutes of December 18, 2003 Meeting

 

Meeting Attendees

Meeting started at 6:00 pm and adjourned at 7:15 pm.  Held at Coleen’s home.

 

Punch List Review

Lisa provided feedback on punch list items, including: replacement of stop signs, street lights must be working properly, guard house shutter and rotted wood need to be replaced, move entry sign to another location due to safety issues, address street patch on Eagle Trace Drive, address drainage issue on Cheviot Court, address lakes, drainage, silt, pump, fountain issues.  Lisa will put together a formal punch list and provide a draft letter to the other Board Members.

 

Formal punch list will be sent to all three Greg Allen locations:  retail, home, commercial.  Depending on the response from Greg Allen, we may have Steve Plummer set up a meeting to discuss issues with Greg. 

 

Management Responsibilities

Do we want to hire R&G Management or do we want Dennis to take on responsibilities?  Dennis has volunteered to handle responsibilities.  We could set up an account with Fifth Third with electronic payment capabilities.  Need to make sure that checks have a void after 90 days security feature.  We could establish a voicemail box for homeowners to call and leave messages.  We need to obtain a quote on VM #.  Dennis would need backup possibly for a month during the year.  The money we save from management fees will be put in the capital fund.  We need to sign the contract with R&G but before we do, John wants to change the contract to allow cancellation within 10 days.  We do not intend to notify R&G until we present Greg Allen with our punch list.

 

We want to consider whether or not we need to retain Sean Clapp as the attorney for the lake situation.  He should also be able to advise us or our options if we choose not to take over association responsibilities while issues are unresolved.

 

Miscellaneous

We will pay for the printing of our directories via home owner advertisers.

 

If we want to install speed bumps in the subdivision, we will need 70% of the homeowner’s to agree.

 

Jerry Day to provide quote on insurance.  We need to give to R&G so we are covered.  Do we need a liability or umbrella policy in case of an accident on property?

 

Brian Benham has expressed an interest in being a member of the architectural committee.

 

Next meeting will be Wednesday, January 7 at Charlie’s home.
